Job Description

Nonprofit organization in Madison, MS is looking for a competent and professional Administrative Assistant/Receptionist to work full-time (8:00 a.m. to 5:00 p.m.; Monday through Friday). This position requires exceptional customer service skills, organizational ability, and multi-tasking. 

Responsibilities and Duties 

  • Welcome all visitors with a friendly and courteous greeting, directing them to the appropriate person or area promptly. Making them sing in.
  • Answer incoming calls promptly, accurately directing calls to the relevant department or individual, and taking detailed messages when necessary.
  • Maintain a clean and organized reception area.
  • Manage incoming mail and deliveries, distributing items as needed.
  • Update and maintain office directories and contact lists.
  • Coordinate office supplies and place orders when necessary.
  • Communicate clearly and concisely with clients, colleagues, and visitors, both verbally and in writing.

  • Protect sensitive company and client information by always maintaining confidentiality.
  • Address minor issues independently and escalate more complex problems to the appropriate supervisor when necessary.

  • Collaborate effectively with other team members to support the overall smooth operation of the office.
  • Prioritize excellent customer service, ensuring all visitors and callers feel valued and attended to.

 

Job Requirements

Qualification

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • High school degree: bachelor’s degree preferred; additional certification in Office Management is a plus
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel)
  • Hands-on experience with office equipment (e.g., printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Exceptional customer service skills
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
