Job Description

Job Summary:

The Assistant to the Office Manager is responsible for providing administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to organization and communication. The assistant will work closely with the Office Manager to maintain an effective, organized, and productive work environment. 

 Candidate will need to be efficient and detail oriented.  Very trustworthy and able to keep things confidential

  Key Responsibilities:

 Administrative Support:

   - Assist the Office Manager with daily administrative tasks.

   - Manage and maintain office supplies inventory.

   - Prepare reports, memos, letters, and other documents.

   - Handle incoming and outgoing correspondence, including emails and phone calls.

   - Handle incoming and outgoing shipments

   - Assist with Inventory Entry

 Office Coordination:

   - Ensure office operations and procedures are followed.

 Record Keeping:

   - Maintain a filing system for important and confidential company documents.

 Customer Service:

   - Greet and assist visitors to the office.

   - Provide general support to visitors and clients.

   - Assist in checking out customers, as needed

   - Assist on sales floor, if needed

 Event Planning:

   - Assist in organizing company events, meetings, and conferences.

   - Manage logistics for in-house and external events.

 Financial Assistance:

     - Daily deposits

     - Entering deposits into QuickBooks and Excel ledgers

        - Support in the reconciliation of accounts and invoices.

 Project Assistance:

   - Support the Office Manager in special projects.

 Qualifications:

 Education:  High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.

 Experience: Proven experience as an Administrative Assistant, Office Assistant, or similar role.
