Job Description

Subdivision in Madison, Mississippi is the state's premier residential community development offering a resort-like lifestyle experience. The community consists of over 1800 acres, with nearly 1000 homes, and includes 400 acres of lakes, two community swimming pools, beaches, an events pavilion, and miles of paved walking trails, among other amenities.

The Director is responsible overseeing the Association’s seven-figure budget and executing the mission and vision of the Association’s Board. The Director must provide outstanding customer service, communication and leadership. The Director has responsibility for the Association’s day-to-day operations, legal compliance, and overall management of the Association.

The Director reports to the POA Board. The Director should display sound judgment, honesty, and diplomacy. The Director must demonstrate a proactive management style, with a commitment to continued improvements achieved through strategic short-term and long-term planning.

Duties and Responsibilities

  • Responsible for financial oversight and budgeting.
  • Should be well versed in interpretation of financial statements and knowledgeable concerning business accounting procedures.
  • Ability to utilize computer-based accounting platforms and support software, including QuickBooks, Excel, and an online accounting portal provided by our third-party accountant.
  • Ability to create short-term and long-term budgets based on revenue exceeding $1,500,000.
  • Focused on technological improvements and efficiencies to bring current processes into the “digital age.”
  • Retain and work with third-party vendors to develop and maintain website and social media presence.
  • Retain and collaborate with third-party vendors for implementation of electronic communication and bill payment platform.
  • As much as possible, transform all communications, billing, Community updates, document availability, etc., to online platform.
  • Provide oversight to the Architectural Review Committee.
  • Knowledge related to construction or ability and willingness to acquire knowledge relevant to construction within the neighborhood.
  • Responsible for conducting site meetings with builders and residents.
  • Ensure appropriate communication with all stakeholders concerning compliance with design/construction guidelines.
  • Serve as the “face” of the neighborhood and address concerns from residents, builders, vendors, etc., in a timely manner, with limited Board oversight.
  • Delivery of outstanding service by leading a team of employees, which may include an office manager, property/maintenance manager, lifestyle/social director, and others.
  • Foster collaborative environment based on teamwork.
  • Coordination of excellent service through vendors responsible for accounting, landscaping, security, janitorial services, pool maintenance, etc.
  • Obtain bids for services provided by third-party vendors and make recommendations to Board concerning bid awards.
  • Maintenance of Common Areas & Amenities: Director is responsible for overseeing all aspects of maintenance on behalf of the Board including safety, maintenance, and insurance.
  • Prepare monthly and annual reports and meeting agendas for monthly board meetings.
  • Lead all monthly and annual meetings.
  • Summarize the priorities of each meeting with appropriate follow up.
  • Ensure financial, legal, and Neighborhood/Board documents are maintained in an organized and accessible manner.
  • Presence in neighborhood 8:30am-5:00pm, Monday-Friday. Some evening and weekend presence required.

 

 

Job Requirements

Knowledge, Skills and Experience

  • Bachelor’s Degree (required)
  • Management Experience (required)
  • Outstanding written/oral communication.
  • Excellent Financial skills.
  • Above average computer literacy.
  • Ability to manage time around multiple demands, of varying priority, from different sources.
  • Able to work with diverse personalities and skill-sets.
