Office Manager/Bookkeeper to run day-to-day accounts payable and receivable and keep the office running. The ideal candidate has done this work before — construction, real estate, or home-building experience is preferred — and can step in with minimal ramp-up.
Key Responsibilities
Process weekly accounts payable: collect and verify contractor and vendor invoices, prepare payments for review and approval, and keep accurate records in QuickBooks Online.
Manage accounts receivable — track incoming payments and follow up on outstanding balances.
Prepare bank deposits and support monthly bank reconciliation with the bookkeeper.
Maintain accurate QuickBooks Online entries, coordinating with the bookkeeper as needed.
Serve as office manager: supplies, mail, incoming calls, and equipment/vendor coordination (copier/printer, etc.).
Support company leadership with administrative tasks tied to accounting and office operations.
Flag discrepancies, missing documentation, or cash-timing concerns to leadership proactively.
Other related office and administrative duties as assigned.
Qualifications
High school diploma required; Associate's or Bachelor's degree a plus, not required.
2+ years of hands-on AP/AR experience required, 3+ preferred.
Proficiency with QuickBooks (Online strongly preferred) and Microsoft 365 (esp. Excel and Word).
Construction, real estate, development, or home-building experience preferred.
Strong organizational skills; comfortable with high transaction volume against a fixed weekly deadline.
Strong attention to detail — able to catch discrepancies before they become problems.
Learns established procedures quickly and works independently after initial onboarding.
Comfortable handling confidential financial information with discretion.
Strong communicator; professional and team-oriented with leadership and outside vendors.
Able to lift and move office supply deliveries (up to ~25 lbs).
